RFP: Hay Harvesting

This property is situated directly north of, and adjacent to, the Highgate Sports Arena.

 

Under this agreement, MVSD will receive 250 square bales and 20 wrapped round bales of second-cut hay in exchange for granting the selected contractor the right to harvest the field. All other cut hay beyond the agreed-upon second cut allocation shall become the property of the contractor at no cost.

 

The successful contractor will be responsible for completing a minimum of two (2) and up to four (4) hay cuts during the 2026 growing season, depending on weather and field conditions. The contractor must coordinate with MVSD to ensure that the agreed-upon quantity and type of second-cut bales are delivered in a timely manner and in good condition. The contractor must also apply liquid manure to the field at the end of the harvest season and prior to fall.

 

Harvesting may only occur when soil conditions are sufficiently dry to prevent excessive rutting, compaction, or damage to the field. MVSD reserves the right to suspend harvesting if field conditions are deemed unsuitable. The contractor is responsible for restoring any damage to the field resulting from harvesting operations, to the satisfaction of MVSD.

 

All hay retained by the contractor must be removed from the field promptly following each cut. The portion of second-cut hay designated for MVSD must be delivered to a location specified by the District unless otherwise agreed.

 

Proof of liability insurance is required prior to the commencement of any work. The contractor must comply with all applicable local, state, and federal agricultural regulations.

 

Proposal Submission Requirements:

Proposals must be received by May 25, 2026, at 12:00 PM and should be emailed to [email protected] or delivered to:

Each proposal must include:

  • Bidder’s full name and contact information
  • Proposed number of cuts
  • Proposed quantity and type (round and/or square bales) of second-cut hay to be provided to MVSD
  • Brief description of equipment to be used
  • Relevant experience or references

MVSD will award the proposal it determines to be in the best interest of the School District. Preference will be given to local bidders who are deemed reliable, experienced, and capable of meeting the requirements of this agreement.

 

Bids will be awarded on May 26, 2026.

 

MVSD reserves the right to accept or reject any or all proposals, in whole or in part, and to waive any informalities or irregularities in the process.
